The College of Liberal Arts and Sciences is searching for an Executive Assistant to the Dean.
Responsibilities:
The Executive Assistant (EA) works closely with the Dean on virtually every aspect of the College of Liberal Arts and Sciences (CLAS).
In particular, the EA serves as confidential assistant maintaining CLAS records managing confidential personnel and credential files, preparing information for distribution to faculty members and students, and managing the dean's calendar.
All of these tasks are done independently.
Under the dean's direct supervision, the EA manages CLAS's budget and purchases in WorkDay on a daily basis and prepares faculty contracts.
The EA assists in budget preparation and distributes funds to faculty members and departments.
The EA also independently organizes college-wide meetings and social events on the dean's behalf (much of this is done beyond the realms of the normal work day).
Qualifications:
A bachelor's degree from an accredited college/university and one year of prior administrative support experience is required.
In lieu of education, equivalent directly relevant experience will be considered.
Candidates should know how to use Word for document preparation; Excel to maintain budget, research and development of expense reports; and Outlook to manage office calendars; must have the ability to learn WorkDay budget system and other Mercer-specific IT.
Knowledge/Skills/Abilities:
Knows Mercer procedures to support faculty/staff hiring, schedule management, and fiscal reporting; knows CLAS processes to support dean in organizing faculty meetings, committee work, and other Handbook-related activities; Adept at planning coordinating and facilitating faculty events on a large scale (e.
g.
Chairs/Directors Retreat, End-of-Year Appreciation Dinner, New Faculty Orientation, etc.
