Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities.
Administrative Assistant responsibilities include making meeting arrangements, preparing reports and maintaining appropriate filing systems, and accounts payable and accounts receivable transactions.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
If you have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we'd like to meet you.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities Answer all phone calls and direct them accordingly.
Prepare communications such as memos, emails, invoices, reports, and other correspondence.
Compose and edit documents from letters to reports and instructional materials.
Order office supplies and keep break room stocked.
Date stamp and distribute all incoming mail.
Schedule appointments and maintain calendars.
Verify transaction information; schedule and prepare disbursements; obtain authorization of payments.
Review and maintain paper and electronic files; conduct data entry.
Perform accounts receivable functions including invoicing, deposits, collections, and revenue recognition.
Perform all activities related to the accounts payable functions including reviewing, coding, and processing payments.
Anticipate the needs of others to ensure their seamless and positive experience.

Minimum
Qualifications:
Associates degree in Business Administration or related field, desired but not required.
Proven experience as an Administrative Assistant.
Proficient knowledge of Microsoft Office products such as Word, Excel, PowerPoint, and Outlook withaptitude to learn new software and systems.
Proficient in QuickBooks software.
